Privacy Policy

Effective July 2026

P3 Fitness runs youth athletic training out of Weston Hills Park in Henderson, Nevada. You give us information about yourself and your child so we can coach them safely and take your payment. This page tells you exactly what we hold, why, who else sees it, and how to get it back or have it deleted.

The short version: we are two coaches and a website. We do not sell your information, we do not run advertising trackers, and the only outside companies involved are the ones that take the payment and send the reminders.

What We Collect, and Where It Comes From

Everything below comes from you — typed into a form on this website by the parent or guardian, or told to a coach and entered by us. We do not buy information about you and we do not get it from data brokers.

  • About you: your name, email address, phone number, and your account password (stored scrambled, never in readable form).
  • About your athlete: their name, date of birth, and an emergency contact name and phone number.
  • Health notes about your athlete: allergies, conditions, injuries and anything else you write in the medical notes box. This gets its own section below.
  • Bookings: which classes and seasons your athlete is registered for, attendance, waitlist position, and any credits.
  • Payments: the amount, date, status and description of each transaction. We never see or store your card number — you type that straight into Stripe.
  • Your signed waiver: the name you typed, your relationship to the athlete, which version of the waiver you agreed to, and the date, time and IP address of the signature. We keep this so we can both prove what was agreed.
  • Message preferences: whether you have turned on text reminders, and when you turned them on.

What We Use It For

  • Registering your athlete and running bookings and waitlists.
  • Taking payment and keeping our financial records.
  • Sending you confirmations, receipts, session reminders and notices about schedule changes.
  • Keeping your athlete safe at sessions — coaches carry emergency contacts and health notes with them.
  • Meeting our tax, accounting, insurance and legal obligations, and defending ourselves if there is ever a claim.

That is the whole list. We do not use your information to build profiles, we do not feed it to advertising networks, and we do not use it to train anything.

Health Information About Your Athlete

Nevada has a specific law about consumer health data (NRS 603A.400 to 603A.550). The medical notes you write about your athlete fall under it, so here is how we handle them, in the detail that law asks for.

  • What we collect: whatever you type into the medical notes field — typically allergies, asthma, diabetes, past injuries, medications your athlete carries, and limitations a coach should work around.
  • Where it comes from: only from you, the parent or guardian, through the registration form or your account profile. We do not get health information from doctors, schools, insurers or anyone else.
  • Why we collect it: so a coach can supervise your athlete safely and respond correctly if something happens. We do not use it for marketing, pricing, or deciding who gets a spot.
  • How it is handled: it is stored in our booking database, shown to coaches on the roster for a session, and read on a phone at the park. We do not put it in emails or text messages, and we do not print it.
  • Who we share it with: nobody. Not Stripe, not our email provider, not our text message provider, not any advertiser or affiliate. The only exception is paramedics or a hospital in an actual emergency, or if a court orders us to hand it over.
  • We never sell it. Nevada law would require a separate signed authorization from you before we could, and we are not going to ask for one.
  • Who can see it: only the coaches who need it to run the session, and only while your athlete is enrolled.

You are not required to give us health information. If you leave the box empty we will still enrol your athlete — but the coaches will be working blind, so please don't. You can change or clear the notes any time from your account, and you can ask us to delete them using the request address below.

Your Athlete's Information

Children do not create accounts here and cannot use this site to give us anything. Every piece of information about an athlete is entered by their parent or guardian. We use it only to run our programs and keep the athlete safe, and we never sell it or share it for advertising.

As the parent or guardian you can see, correct, export or delete your athlete's information at any time from Your Data, or by emailing us.

Who We Share It With

We share the minimum necessary with the companies that make the service work. They are service providers acting on our instructions — they are not allowed to use your information for their own purposes.

  • Stripe — takes the payment. Gets your name, email and card details (which you enter with them directly). Does not get health notes.
  • Resend — sends our emails. Gets your email address and the contents of the message. Does not get health notes.
  • Twilio — sends text reminders, only if you opted in. Gets your phone number and the contents of the message. Does not get health notes.
  • Vercel — hosts the website and stores our photos. Handles data in transit as part of running the site.
  • Sentry — tells us when the website breaks. Receives technical error reports; it is configured not to send personal information.

We may also hand over information if the law requires it, or if it is needed to protect someone's safety. If P3 were ever sold or merged, your information would move with the business, and we would tell you first.

We do not sell your information, and we never have. Nevada law (NRS 603A.300 to 603A.360) gives you the right to tell an operator not to sell your information. You can send us that direction at the request address below, and we will confirm it — but there is nothing to stop, because we do not sell.

Tracking and Cookies

We use cookies for one thing: keeping you signed in to your account. There are no advertising cookies, no analytics trackers, no pixels, and no third party on this site collecting information about what you do here or following you to other websites.

Your Rights, and How to Use Them

The fastest route for most things is Your Data in your account, where you can download a full JSON export of everything tied to your account or request deletion yourself. You can correct your details and your athlete's details from your account profile at any time.

You can also just email us. Our designated request address is p3fitness.jess@gmail.com. Use it to ask us to:

  • confirm what we hold about you or your athlete;
  • give you a copy;
  • correct something that's wrong;
  • tell you every third party we have shared it with;
  • stop collecting or sharing it;
  • delete it;
  • not sell it (we don't, but you can tell us anyway).

We'll check you are who you say you are before we act — usually by writing back to the email address on your account. Then:

  • Health information requests get an answer within 45 days. If a request is genuinely complicated we may take up to 45 days more, and we'll tell you inside the first 45 why. Deletions of health information are done within 30 days, and we tell anyone we shared it with to delete it too.
  • Everything else gets an answer within 60 days, with up to 30 days more if we genuinely need it and tell you so.

If we say no. If we refuse a request we'll tell you why in writing. You can appeal by replying to that email with the word “appeal” — a different person will look at it and answer you within 45 days. If you're still unhappy you can complain to the Nevada Attorney General's Bureau of Consumer Protection.

None of this costs you anything, and we will not treat you or your athlete any differently for asking.

How Long We Keep Things

We keep your account and your athlete's information while your account is active, and for a reasonable period after your last session in case you come back or a question comes up about a past season.

When you ask us to delete, we erase your athlete's date of birth, emergency contacts and health notes, and we strip your own profile back to an anonymous record. Two things survive that: payment and transaction records, which we have to keep in anonymised form for tax and accounting; and your signed waiver, which we keep for as long as a claim could still be brought — for a child in Nevada that can run years past their eighteenth birthday. Backups take up to a few weeks to age out.

How We Protect It

Connections to this site are encrypted. Access to the coach dashboard is limited to the two coaches, and the database is not reachable from the public internet. Card numbers never touch our servers — Stripe handles them and we hold ourselves to the payment card industry rules that go with that. Health notes are kept in our own database and are not sent to any outside company.

No system is perfectly secure. If your information is ever caught up in a breach, Nevada law requires us to tell you as quickly as we reasonably can, and we will — plainly, and without waiting to have all the answers first.

Changes to This Policy

If we change this policy in a way that matters — new information collected, a new company we share with, a new purpose — we will email everyone with an account before it takes effect, and update the effective date at the top of this page. Small wording fixes just get a new date.
